Structure of an organisation

The organisation is your company profile on ASTAG Charge, with your companies (legal entities) and members below it. In this article, we explain how these levels are connected so that you can find your way around the portal quickly.

1.Structure at a glance

  • Organisation is the company profile on the platform and thus also your account; there is no other account alongside it.
  • Companies are the firms or legal entities that invoice and pay.

The platform creates the first company automatically during registration, and usually this one is enough.

If you want to invoice separately, you can create as many further companies as you like, where each fleet and each site belongs to exactly one company.

If you operate sites in different countries, you need a company based in each country for VAT reasons.

  • Members are the people who manage your organisation, for example in dispatch, fleet management or accounting.

Your drivers, by contrast, do not need their own account, only an RFID card or the app login link of the Driver Web App.

The following diagram shows the structure as a family tree.

At the top is the organisation, which is created when you first register, with any number of companies below it. Each company has its own fleets and sites, which always belong to exactly one company.

Members, by contrast, are attached to the organisation and not to individual companies.

The next diagram shows who works in the organisation with which role and where your drivers fit in.

Members have an account and are either Admin or Member, where an Admin can see and change everything and a Member can only view. Drivers, by contrast, have no account and no role.

They scan the QR code on the vehicle or log in, and then open the Driver Web App in the browser of their mobile device.

2.Where to find the organisation

You reach your organisation via Organisation settings at the bottom of the sidebar, where you will find three tabs:

  • Overview shows the organisation details such as name, email and telephone number.
  • Members shows the people with their role.
  • Companies shows the companies with country, VAT ID number and address.

3.Note

You can be both a depot operator and a fleet manager within the same organisation, and you simply switch the area at the top of the sidebar.
