Overview of billing and invoices
Here you can see at a glance how billing works with ASTAG Charge, from recording the charging session to the invoice and payout.
1.Prerequisites
For the invoice to arrive, the fleet's company, that is, the firm that receives and pays invoices, has an invoice email address on file. For the payout, the depot operator enters their payout details in their company.
2.How billing works
- 1.As soon as a driver charges at a site, ASTAG Charge records the charging session automatically.
While charging is in progress, it has the status In progress, afterwards the status Completed.
- 2.Regular charging sessions are relevant for billing, and their data record is called CDR (Charge Detail Record).
Charging sessions with the Reporting only label, by contrast, are only reported and not billed.
- 3.The tariff that applied at the time of charging applies to each charging session.
The price is made up of the depot operator's price and the ASTAG Charge service fee, both of which are charged per kWh.
- 4.Once a month, Depotcharge, the operator of the platform behind ASTAG Charge, issues the invoice on behalf of the depot operator.
Each company receives an invoice for its linked fleets, on which each vehicle appears as a separate line, and each depot operator receives a credit note summary.
- 5.Depotcharge sends the invoice or credit note by email to the company's invoice email addresses.
- 6.The company pays the invoice.
Payment methods and the payment term, that is, the deadline by which the invoice must be paid, are stated on the invoice.
- 7.Also once a month, Depotcharge pays the earnings out to the depot operator, with the amount depending on the quantity charged and the tariff.
The following diagram summarises the process and shows who pays whom.
The fleet pays the total amount of the payment summary, which bundles several invoices into one bulk payment, to Depotcharge, and Depotcharge pays the depot operator the net tariff, while the service fee stays with Depotcharge.
The credit note that Depotcharge issues to the depot operator for this is shown in the following sample credit note.
Number 4 marks the service "Provision of charging infrastructure and electricity" with VAT and the credit note amount, which corresponds to the depot operator's net tariff. Page 2, marked by number 6, lists the charging sessions by fleet operator.
To find out how the invoice is structured, read Invoices and credit notes.
3.What applies
Prices and service fee. The net energy price is the depot operator's price without the service fee. The service fee is CHF 0.025 per kWh for ASTAG members and CHF 0.04 per kWh for non-members who charge at Swiss sites.
It is charged to the fleet on top and corresponds to the difference between the net energy costs and the total net costs of a charging session. There are currently no discounts for committed volumes.
In addition, depot operators can offer the fleets of the ASTAG charge community their own community tariffs. Since an active tariff cannot be changed, a new price is only possible through a new agreement with a new tariff.
Charging sessions that have already taken place keep the tariff from the time of charging.
VAT and currency. All prices are exclusive of value added tax (VAT). The VAT rate and currency depend on the country of the site, which is also the country of the tariff.
Invoice. Depotcharge issues the invoice to the fleet's company on behalf of the depot operator. It comes exclusively by email, as downloading it in the portal is currently not possible.
An admin sets the recipient addresses in Organisation settings, with new addresses applying only to future invoices.
Payment and reminders. There is no prepayment model, so billing is always by invoice. If a company does not pay on time, Depotcharge first sends a payment request and, after a certain period, a reminder.
If payment is still outstanding, Depotcharge can block the organisation and its fleets from the platform.
Payout. Depot operators receive their earnings from Depotcharge and not from the fleets, because Depotcharge bears the risk of non-payment by the companies and guarantees a correct, punctual and transparent payout. For this, the depot operator's company needs a VAT ID number, IBAN and BIC.
4.Note
The revenue shown in the key figures is always net.
